The Role
The Executive Assistant will play a crucial role in ensuring the smooth operation of our executive team’s daily activities. This position requires a strategic thinker with strong organizational skills and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will have experience in a scaling high-tech organization within the SaaS industry and a deep understanding of executive support responsibilities.

Responsibilities

    • Provide high-level administrative support to executives, including managing schedules, appointments, and travel arrangements.
    • Prepare and organize documents, reports, and presentations for executive meetings and conferences.
    • Act as a liaison between the executive team and internal/external stakeholders, ensuring effective communication and collaboration.
    • Manage special projects and initiatives as assigned, ensuring timely completion and adherence to objectives.
    • Assist in the preparation and follow-up of agendas and minutes for meetings, ensuring all action items are tracked and executed.
    • Maintain confidentiality of sensitive information and exercise discretion in all interactions.
    • Monitor and manage executive correspondence, prioritizing responses and flagging urgent matters.
    • Develop and maintain efficient office systems and processes to enhance productivity.
    • Coordinate and plan team events, including off-site meetings, retreats, and training sessions.
    • Serve as a lead and mentor to other Executive Assistants, providing guidance, training, and support to ensure consistency in processes, communication, and performance across the administrative team.
    • Support in-office leadership and company-wide meetings events onsite across all Deputy regions as needed.

Qualifications & Requirements

    • 5+ years of experience as an Executive Assistant, preferably in the SaaS or technology sector.
    • Exceptional organizational and time-management skills, with the ability to prioritize tasks and work under pressure.
    • Strong communication skills, both written and verbal, with a high level of professionalism.
    • Proficient in Google Suite and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.
    • Demonstrated ability to handle confidential information with integrity and professionalism.
    • Strong problem-solving skills and attention to detail.
    • Flexibility to adapt to changing priorities and business needs.
    • Willingness to travel for onsite events in all Deputy regions as needed to support leadership and company-wide meetings and events.
