Binance is seeking an Admin to support workplace and facilities management, employee services, and cross-functional collaboration in Barcelona, Spain. The role involves managing administrative processes, handling office logistics, supporting events and travel, assisting with financial tracking, and contributing to policy and process improvements. As a versatile and detail-oriented Admin, you will work closely with stakeholders, analyze trends, and propose solutions to optimize processes. With experience in workplace and facilities management, administration, or office coordination, you will be responsible for coordinating projects, tracking team tasks, and ensuring office and employee safety. Job Description
Responsibilities:
- Administrative & Process Management: Supports internal administrative operations and follows company policies. Assists in policy implementation and identifies process improvements.
- Workplace & Facilities Management: Manages rent, lease renewals, workplace maintenance, and vendor interactions. Supports office relocations, renovations, and procurement. Assists in EHS, Crisis Management & BCP execution, ensuring office and employee safety.
- Event & Travel Support: Coordinates company events, vendor management, and logistics. Oversees corporate merchandise inventory and distribution. Manages employee travel bookings, ensuring policy compliance.
- Employee & Remote Team Support: Provides administrative assistance to office-based and remote employees. Supports onboarding/offboarding processes, office access, and equipment coordination. Manages employee inquiries via the internal CRM system, analyzing trends and proposing solutions.
- Financial & Asset Management: Assists with budget tracking, financial reporting, and expense monitoring. Ensures proper asset tracking and workplace inventory management. Identifies and suggests cost-saving opportunities where applicable.
- Project & Team Coordination: Assists in project execution, task tracking, and team coordination. Communicates effectively with stakeholders, ensuring clear updates and workflow efficiency. Supports team collaboration, adapting to different work styles and dynamics.
Requirements:
- Experience: 2+ years in workplace and facilities management, administration, or office coordination.
- Languages: Bilingual English/Spanish is required to be able to coordinate with overseas partners and stakeholders. Catalan language skill is a plus.
- Technical Skills: Comfortable with office management tools, CRM systems, and budgeting platforms.
- Problem-Solving: Ability to identify improvements, analyze feedback, and optimize processes.
- Collaboration: Strong interpersonal skills for working across teams and stakeholders.
- Financial Acumen: Familiarity with budget tracking and expense management.
- Project Support: Ability to assist in coordinating projects and tracking team tasks.
