Resource and Process Coordinator

We are looking for a Resource and Process Coordinator to drive efficiency and ensure smooth operations across the teams. In this role, you will plan, organize, and oversee key activities to maximize resource utilization and process effectiveness. You will also facilitate clear communication and provide essential support to teams, ensuring seamless collaboration and workflow optimization.


Your role in action:


Resource Management

  • Respond to daily resourcing requests in cooperation with Regional Team Managers.
  • Monitor resource availability and ensure efficient utilization.
  • Coordinate with Regional Managers to forecast resource needs and address shortages or surpluses.
  • Work closely with Regional Managers to understand team allocation, utilization, and skill sets.

Process Coordination

  • Support Vertical Leads and Regional Managers in developing and implementing efficient processes and workflows.
  • Monitor and evaluate existing processes to identify areas for improvement.
  • Ensure compliance with organizational standards and regulatory requirements.
  • Collaborate with stakeholders to streamline operations and eliminate bottlenecks.

Project Coordination

  • Assist in planning and executing projects by coordinating resources and schedules.
  • Track project progress and provide regular updates to stakeholders.
  • Identify and mitigate risks affecting project timelines or resource allocation.

Communication

  • Act as a key point of contact for resource and process-related inquiries.
  • Facilitate effective communication between departments and teams.
  • Prepare and present reports on resource utilization and process efficiency.

Data Analysis

  • Collect and analyze data on resource usage and process performance.
  • Generate reports and provide insights to support informed decision-making.
  • Identify trends and recommend data-driven improvements.

The essentials for this role


  • You have previous experience in resource management, process coordination, or a similar role, where you have successfully optimized workflows and improved efficiency.

  • Your strong organizational and multitasking skills enable you to manage multiple priorities while maintaining accuracy and meeting deadlines.

  • You possess excellent communication and interpersonal abilities, allowing you to collaborate effectively with teams and key stakeholders.

  • You excel in resource allocation and management, ensuring the right people are assigned to the right tasks at the right time.

  • You have a problem-solving mindset, proactively identifying challenges and developing solutions that enhance efficiency and operations.

  • You are proficient in project management methodologies and tools such as JIRA, Trello, Monday.com, and Microsoft Project, enabling you to structure and oversee projects effectively.

  • We hope that you are located in the Czech Republic or Finland, as the team is mostly based in these two countries. However, you can also be based in Estonia, Norway, Sweden, or the UK.
