Job Summary

As an Executive Assistant to the Chief Information Officer at Figma, you'll support the CIO in scaling teams and processes while maintaining organizational skills and adaptability. You'll work closely with the Global Business Operations leadership team and various departments across the company. This role requires strong communication, organization, and problem-solving abilities. With 6+ years of experience in an administrative or support role, you'll be responsible for managing calendars, meetings, business travel arrangements, and expenses. You'll also drive strategic thought partnerships, lead large-scale planning, and partner with internal teams to ensure cross-functional alignment. As Executive Assistant to the Chief Information Officer, you’ll be responsible for keeping the team organized and helping them focus on scaling their teams and processes. In this role, you’ll be directly supporting the CIO to strategically run day-to-day administrative and operational needs. You’ll  also be working closely with the Global Business Operations leadership team, and cross-functionally with the broader G&A Orgs and various team members across Figma. The role requires someone who is a great communicator, highly organized, and adaptable.

This is a full time role that can be held from one of our US hubs or remotely in the United States.

What you’ll do at Figma:

  • Run calendars, meetings, business travel arrangements and expenses

  • Act as a delegate for the CIO, signing off of expenses, PO approval, and various other tooling as needed with careful attention to internal policy

  • Be a strategic thought partner to the CIO and their leadership team with a focus on operations, process, and long term planning

  • Drive leadership meetings by coordinating the agenda, taking notes, and moving relevant action items forward

  • Lead large scale planning for monthly and quarterly meetings, coordinating content and slides

  • See opportunities for process optimization throughout team and company processes

  • Partner with internal teams to ensure cross functional alignment on projects, company achievements, and internal events

  • Organize in-person offsites, including working with external venues and internal team members

  • Ad hoc project management

We'd love to hear from you if you have:

  • 6+ years of experience in an administrative or support role

  • Supported teams of 30+ people 

  • Enjoy working in a fast paced environment and can adapt quickly to changing demands

  • Are an authority at prioritizing and seeing around corners

  • Are dependable, reliable and will maintain strictest confidentiality

  • Have experienced communication skills and can communicate with a wide range of internal and external team members in person, virtually, and over email

  • Are thoughtful, with an optimistic lens that cultivates inclusivity

While not required, it’s an added plus if you also have:

  • An affinity for Figma and an interest in becoming an expert in our product

  • Experience supporting Technology functions
